User Management

Overview

The user management view provides a full listing of users that are registered on the platform.

Adding New Users

  1. Users can register at your Marketplace Homepage

  2. They will receive an email to Confirm their email address.

  3. All active users will be listed under Administration > Users

Sorting and Searching Users

  1. Type into the Search Box to quick find specific users or companies.

  2. Use the Filter Dropdown to sort by multiple criteria like unverified users in a certain company.

  3. Use Edit Columns to define what information is shown in the table

Adding Contacts

Differently from users, contacts do not have an account they access on 3YOURMIND. Adding a customer as a contact, allows the service to create quotes or orders for them without the need for the end-customer to take any action.

To create a contact, click on Invite User in the Users list

When you unselect Activate User, you will create a contact rather than a user. Quotes and orders can be created for contacts, without these users receiving any emails.

A contact can be activated after creation, enabling the user to get full access to their profile & account. To do this, go to the user profile and click “Send Activation”.

Verifying New Users

Spaces can also activate Force verify user in the administration panel so that each new user must first be reviewed and confirmed by an administrator.

  1. New users can register at your Marketplace Homepage

  2. They will receive an email to Confirm their email address.

  3. New users will be listed under Administration > Users with the status Pending

  4. An administrator can review and confirm new users for access.

  5. The user will receive a Confirmation Email and can begin ordering

Revoking Platform Access

If the Force verify user functionality is enabled, a user’s platform access can also be revoked.

  1. Navigate to Administration > Users

  2. Select one or more users using search or filtering.

  3. Choose Decline and their status will be revoked

Declined users are not able to access the platform and will not receive e-mail notifications. As a declined user registering again with the same e-mail address is not possible.

Editing User Details

User Management also gives you the possibility to directly edit the profile of your users.

You can change the region settings, add new addresses, select default addresses, and even change the email address by simply clicking on the profile to update.

User Panel Access

With version 23.7.0 managing of User Panel access was moved to the Admin Panel.

For details how to manage User Panel access see https://3yourmind.atlassian.net/l/cp/PX8Xauqf .

Identifying Inactive Users

The column Last Login shows the date a user last logged and provided credentials. This allows you to identify inactive platform users.

Deleting Users

To delete a user follow these steps.

  1. Select one or several users

  2. Click on More (“…”)

  3. Choose Delete user(s)

  4. Confirm the deletion in the popup message.

Deleted users will not have access to the platform anymore.

Our user deletion is GDPR compliant. This means that a deleted user is removed whenever possible, e.g. from shared projects, as a part assignee, etc. When the deleted user was the author of orders, parts, etc, the user will be anonymized, i.e. the part author will be listed as “Deleted User”.

Orders and order documents (e.g. invoices) remain in place unchanged to comply with Services' legal obligations of retaining those records.

Restricting a User’s Access to Payment Methods by Setting the Trust Status

As an organization admin, you can set a user’s trust status to be either of “Basic” or “Trusted”. This setting has an impact on which payment method is available to this user during checkout.

Example

A Service has two payment methods configured:

  • Credit card payment

    • Customer Type: Everyone

  • Invoice payment

    • Customer Type: Only Trusted

User A has the setting Customer Type = Basic. During checkout only the payment option Credit card payment is available to User A.

The Customer Type and the associated trust level is not visible to customers.

For more information see Configuring Payment Methods | Customizing Payment Options for Different Customer Segments.
